Privacy statement

To carry out the assessment and selection procedure of the Ombudsman, nominees' personal data contained in their Curriculum Vitae and cover letter will be processed by the European Parliament on the basis of point 2 and 4 of the Call for nomination with a view to the election of the European Ombudsman, published in the Official Journal of the European Union C  293, 30.08.2019, and in line with Rule 231(2)of the European Parliament Rules of Procedure on the Election of the Ombudsman. 

The processing of nominees' personal data will be carried out incompliance with Regulation (EU) 2018/1725 on the protection of natural persons and with regard to the processing of personal data by the Union institutions, bodies, offices and agencies.

Nominees' personal data will be processed for the purpose of the proper functioning of the Ombudsman's assessment and selection procedure. Additionally, as part of the Ombudsman election procedure, the name of MEPs who have supported a nominee, as well as nominees' name, curriculum vitae and cover letters will also be published on the European Parliament's website for the purpose of transparency of the assessment and selection procedure.

The European Parliament will make its best efforts to protect the nominees' and MEPs' private life and personal data, notably by restricting the access to such data only to persons on a need-to-know basis or by redrafting these documents if unnecessary personal data are mentioned. The European Parliament may also remove personal data which is not useful for the selection procedure.

The Head of the Unit for the Reception and Referral of Official Documents, Directorate for the Plenary, Directorate-General for the Presidency, Mr Libor Bohac, acting as the controller, will process the nominees' and MEPs' personal data.

MEPs and nominees are hereby informed that once their names and/or curriculum vitae and/or cover letter are published on the European Parliament website, the European Parliament cannot be held liable for third parties usage of the published material.

Nominees' name, curriculum vitae and cover letter will be retained and publicly accessible on the European Parliament website for a period of six months from the election of the Ombudsman. After the six-month period, nominees' name, CV and cover letter will be erased from the European Parliament's website.

The European Parliament will not transfer nominees' or MEPs' personal data to other EU institutions or other entities.

No automated[1] meansnor profiling[2]are used to make decisions, which could affect nominees.

MEPs and nominees are hereby informed of the rights that are granted to them under the Regulation: right of access, right to rectification and, where applicable, right to erasure of their personal data, right to restriction of processing, where applicable, and right to object to processing.

MEPs and nominees can exercise their rights by sending a request to the Head of the Unit for the Reception and Referral of Official Documents, Directorate for the Plenary, Directorate-General for the Presidency, Mr Libor Bohac, acting as a controller, at the following email address: ombudsman-election-2019@ep.europa.eu or at the following postal address: European Parliament, PHS 06A055, Paul-Henri Spaak Building, Rue Wiertz, 1047 Bruxelles, Belgique/België. The controller has one month, from the reception of nominees' or MEPs' request, to reply to it. 

If no answer is received within the aforementioned period, the nominees or MEPs can contact the European Parliament's data protection officer with any question (relating to the processing of their personal data) at data-protection@europarl.europa.eu. MEPs and nominees also have the right to lodge a complaint with the European Data Protection Supervisor at edps@edps.europa.eu.
